Delete your ClearLine365 account

You can delete your ClearLine365 account and your business’s data at any time, from inside the app. This page explains how, exactly what is removed, and what we are required to keep.

1. Delete from inside the app

This is the fastest route and it takes effect immediately.

  1. Open the ClearLine365 app and sign in.
  2. Go to Settings.
  3. Scroll to Account and tap Delete account.
  4. Confirm when prompted.

You will be signed out straight away and your business is suspended immediately — the AI stops answering new calls for it.

2. If you no longer have the app

You do not need to reinstall it. Email support@clearline365.com from the email address on the account with the subject “Account deletion request”.

We verify that the request comes from the account holder before acting on it — this protects your business from someone else deleting your data. Once verified, the same 7-day process below applies.

3. What happens, and when

Deletion is not instant, on purpose. Requesting it starts a 7-day grace period so an accidental or malicious deletion can be undone.

  • Immediately — your business is suspended and the AI stops answering its calls.
  • During the 7 days — sign back in to cancel the deletion and restore your account exactly as it was.
  • After 7 days — the data below is permanently deleted. This cannot be reversed.

4. What is deleted

Permanently, after the grace period:

  • Your account — sign-in credentials and profile. (If you belong to more than one business, your login survives for the others.)
  • Calls and leads — call records, transcripts, caller names, phone numbers and addresses captured by the AI.
  • Call recordings — deleted both from our storage and from our telephony provider.
  • Appointments and your booking calendar.
  • Your AI receptionist configuration — greeting, business hours, services, knowledge, transfer and routing rules.
  • Connected integrations and their stored credentials.
  • Your phone number — released back to the carrier.
  • Team members, invites and notification recipients.
  • Push notification tokens for your devices.

5. What we keep, and why

We would rather tell you this plainly than claim everything disappears. Two things survive deletion:

  • An internal administrative log, with your business no longer identified in it. We keep a record that an action was taken — the link to your business is removed. This exists so we have an audit trail of our own operations, and it does not contain your calls, recordings or customer details.
  • Payment and invoice records held by our payment processor. We are required to retain these for tax and accounting purposes, typically for seven years under applicable law. We do not use them for anything else.

Everything else listed in section 4 is genuinely gone — not archived, not soft-deleted, not recoverable by us.

6. Deleting some of your data, without closing your account

You do not have to delete your whole account to remove specific data. This page is also the “delete data” reference for the Google Play listing.

Individual calls and leads

  1. Open the lead in the app or on the website.
  2. Choose Delete.

The lead moves to Recently deleted for 7 days, so an accidental delete is a one-click undo. After 7 days it is permanently removed — the call record, its transcript and its recording all go with it. Deleting leads is limited to owners and admins.

Location data (team plans)

Location sharing is off unless a team member turns it on. Turning it off deletes that member’s stored location points immediately. Even while it is on, points are automatically deleted after 24 hours — we keep no location history beyond that.

Call recordings

Deleting the lead deletes its recording. Recordings are also removed from our telephony provider, not just from our own storage.

7. A note for business owners

Deleting the last owner of a business deletes that business and all of its data, including data belonging to its other team members. If the business has another owner, your personal account is removed but the business and its data continue.

If you only want to leave a business rather than delete it, remove yourself as a team member instead — that keeps the business and its history intact.
